In this project, you will demonstrate your mastery of the following competencies:
Develop crisis communication plans to mitigate risks and unforeseen challenges
Respond to and manage various crises using communication best practices
Scenario:
For Part One of the project, you will create a crisis communication plan for one of the fictional organizations listed here. Though the types of crises in this list vary, all of them require a crisis communication plan that can be used to address and resolve the crisis. In Project Part Two, which is due in Module Seven, you will use the extended version of the crisis scenario you chose for Part One to write a reflection analysis on how effectively your plan would manage the organization’s communications when and if a crisis occurs.
(Selected the scenarios below. You will work with the same scenario for Project Two.)
Scenario:
You work as a public affairs officer for the federal Natural Disaster Response Agency (NDRA) office. A Category 5 hurricane has been forming off the Gulf of Mexico and is approaching Florida’s Gulf Coast beaches. NDRA and other government agencies downplay the significance of the storm and only issue several extreme weather warnings. The hurricane makes landfall, gains strength, and causes billions of dollars in damage to housing, infrastructure, and natural resources. It also causes deaths and significant injuries.
You are responsible for creating a crisis communication plan for your organization. The plan must be a comprehensive collection of the materials necessary to manage and communicate with affected stakeholders before, during, and after a crisis.
1) Crisis Communication Team
Public Spokesperson: Determine which position within the organization will serve as the official public spokesperson. Explain your reasoning as to why this position will be the best choice for your organization’s public spokesperson.
Crisis Communication Team Members: Establish the members of the organization’s crisis communication team and describe the role of each team member.
Communication Management Training: Explain what kinds of communication management training the spokesperson and the crisis communication team should have in order to effectively manage a crisis.
Crisis Communication Guidelines: Determine the organization’s guidelines for crisis communication. Include information such as:
The levels of responsibility for conveying crisis communications between the crisis communication team, the organization, the affected stakeholders, and the general public
Your team’s decision to generally convey crisis communications through either an individual representative or a designated group of people, along with an explanation as to why this is standard for your organization
The types of information that will need to be communicated during a crisis and how this information is intended to be interpreted by the receiving audiences
The general estimated response times for the identified representative(s) to communicate certain kinds of crisis information
2) Crisis Documentation
Communication Channels: Identify communication channels that will be used to interact with the general public and affected stakeholders. Explain why you have selected these specific channels.
Documentation Approach: Describe how the documentation can be used in a crisis, including:
How well the documents can be adapted for various crises
Whether the documents will convey the correct type of information
How well the documents should be received by the public and the affected stakeholders
Form Letters: Create templates for form letters. These will be adapted and distributed to affected stakeholders.
Public Statements: Design drafts of public statements that will be distributed to the general public through press releases and press conferences.
3) Social Media Strategy
Social Media Crisis Communication Policy: Outline your team’s social media crisis communication policy for the entire organization, including which positions or departments are responsible for the organization’s official social media communications.
Social Media Posts: Create templates for official social media posts on the platforms where the public is talking about the crisis.
Monitoring Conversations Online: Describe your organization’s detailed plan for monitoring conversations online.
4) Resolution Strategy
Active Solutions: Identify how solutions for resolving your selected crisis will be communicated out in order to retain public and stakeholder trust.
Communication Methods and Channel Rationales: Provide a rationale for why these communication methods or channels are the best option for reaching affected audiences with your identified crisis solutions.
Your submission should be a 750- to 1,000-word Word document. Sources should be cited according to APA style.
